Private Car Sale Paperwork: What Documents You Need in QLD

What Paperwork Do You Need to Sell a Car in QLD?
Get these sorted before you list and the handover takes minutes. The three essentials are a roadworthy certificate, your registration papers, and a signed transfer form. Depending on your situation you may also need a finance payout letter, a PPSR check, plate transfer forms, and a bill of sale. Here's each one, and where it fits in the bigger picture of how to sell a car in Queensland. Or if you'd rather skip the lot, you can sell your car in Brisbane straight to us.
The Essential Documents
1. A QLD Roadworthy Certificate (RWC)
If you're selling a registered vehicle privately in Queensland, you must have a current safety certificate (RWC) before you advertise it. It confirms the car meets the state's minimum safety standards and is issued only by an Approved Inspection Station (AIS). It's valid for two months or 2,000km from the date of issue, whichever comes first. Full detail on cost and exceptions is in our guide to the roadworthy certificate in QLD. (Selling the car unregistered? Then you don't need one, see selling an unregistered car in QLD.)
2. Proof of Ownership: Your QLD Registration Papers
Your registration papers prove the car is legally yours to sell. They show the registration number, the vehicle details, and the registered owner's name. You can view or reprint them through the TMR website or at a service centre.
3. A Completed QLD Rego Transfer Form (F3520)
Form F3520, the Vehicle Registration Transfer Application, moves ownership from you to the buyer and needs both parties' signatures. Lodge it promptly so the car comes off your name. For the full process and timing, see transferring car registration in QLD.
Additional Forms You May Need
PPSR Search and Vehicle History Check
A PPSR check shows whether the car has money owing on it, is recorded as stolen, or sits on the Written Off Vehicle Register. It's optional, but providing one builds buyer trust and speeds up the sale. See what a check covers in our QLD VIN and PPSR check guide, and what a written-off (WOVR) status means for resale.
Finance Payout Letter
If the car still has finance owing, get a payout figure from your lender and make sure the sale price clears the balance. The encumbrance has to be cleared as part of the sale. Our guide on selling a car with finance still owing walks through how to do it cleanly.
Personalised Plate Transfer Forms
If the car has personalised plates (PPQ), decide whether you're keeping them or selling them with the car. Use form F2964 to remove or attach plates, or F2963 to transfer them with the sale. Forms are available from Transport and Main Roads.
Tax Invoice (Bill of Sale)
A written receipt protects you after the car is gone. Include both parties' names and addresses, the vehicle details, the date, the sale price, the odometer reading, the VIN, and the registration number, plus a line stating the car is sold "as is." Both of you sign it. This is your cover if a toll, fine, or dispute lands after the sale.
After the Sale
Once it's sold, lodge the transfer so you're no longer the registered owner, cancel your car insurance, and remove the rego from your Linkt account (not just the e-tag) so future tolls don't come back to you.
